Individuals account for around 85% of charitable giving. Corporations and foundations each account for around half of the remaining 15%. Corporate giving through the marketing budget is not included in the above and is estimated to be as substantial as corporate charitable giving. The median gift has been increasing each year since 1999. It is now $210.00. The top 25% of donors contributed 82% of total dollars in 2000, up from 80% in 1997. We do not know the percentage for 2002 but we believe the top donors are continuing their growing impact on the total dollars donated. Around 27% of all foundation grants are $25,000 or more, i.e., major gifts. And these major gifts account for 79% of the total value of foundation grants. (Corporate data are unknown.) This program will focus on the presentation of a request for a major gift to a donor. We are defining a major gift as $25,000+. The donor audience may be a corporate entity (a foundation, corporation, service club) or an individual. Note that over 80% of foundations are vehicles for individual and family giving. Therefore, you should demonstrate first and foremost how you share the funders objectives and how your project will further these objectives. To succeed at attracting significant funds from individual donors your organization will adopt the principles of Customer Relationship Management which include: Understanding the values that are important to that individual customer/donor Using that knowledge to deliver benefits that the customer/donor really wants Does your project have natural allies in the donor world where your mutual objectives very much synchronize? A poor fit is one of the main reasons for a proposals rejection. Make it easy for donors to see how the project is compatible with the donors areas of interest by addressing it head-on and up-front. Phenomenon of Proactivity More Prevalent In Major Gifts We have clearly defined objectives of our own so we distinguish between responsive and pro-active grants with the latter usually much larger, multi-year grants. There is a rise in pro-active grantmaking when donors actively seek out organizations or programs that align with their interests and further their objectives. A Partnership Arrangement, Not a Granting Arrangement We see larger grants more as a partnership arrangement than a granting arrangement. Larger grants come with a greater investment of not just our money but our time, expertise and collaboration. The Longer Term View Funders with the capacity to make major gifts are uniquely positioned to take a longer term view. Large grants are usually over a longer period of time. However, there may also be sizeable one-off grants, e.g., to a hospital campaign, to which few criteria are attached and fall in the category of good citizenship A Dialogue Before the Proposal The process by which an organization seeks a larger grant from us falls out of fostering relationships with grantmakers, building increased transparency and accountability into a proposal, indicating an openess to dialogue. The proposal does not stand alone but fits into a major gifts process the fundamental principles of which are: Frequent, consistent quality contacts Time Donor oriented discussions Successfully soliciting large grants from donors involves more complex mechanics of implementation, e.g., identifying, tracking and interacting with an individual donor and then reconfiguring your product or service to meet that donors needs. Donors do not expect to receive a letter or proposal asking for a large grant without there having been an initial contact to discuss where the application falls within guidelines or interests; what the donor will be looking for and what points the donor would like addressed. Large requests enter a negotiation process that involves initial contacts; a proposal based on those discussions; a response to the proposal which may invite further discussion, agreement to grant, or a declination. Many, if not most, large funders do not want to see a completed proposal in the absence of preliminary discussion and if a proposal is used to kickstart the discussion, then it needs to indicate flexibility and an openness for feedback, reactions, discussion outside the formal, final grant decision-making process. Everything that precedes the proposal is more important than the proposal itself. Big Gifts Are Rarely Made To A Newcomer Or An Unknown Entity It is rare for us to make big gifts to a newcomer big gifts are for organizations with which we have a track record. In the absence of a track record, have the right person contact the right person with a strong rationale for the approach. A Time-Consuming Process Tenacity is an essential quality for any grantseeker. The process can be time-consuming, at least 6 months. For businesses, it may be 18 months. For foundation and corporate donors the decision-making process is often by a group. Committee meetings range from monthly to annually. Timing is important. Larger Requests Get More Scrutiny In the spirit of egalitarianism and respect for the effort of smaller groups, most donors will tell you that their procedures for evaluating and making decisions around large or small grants are the same. Only one of the donors we spoke with said We do have different evaluation criteria for large and small grants. However, even the most casual of donors will acknowledge that the larger requests get more scrutiny and more questions are asked by the decision-makers. The same evaluation criteria are applied for large and small grant requests but the request will be looked at in more detail. Following are the areas donors single out for detailed scrutiny when considering making a large gift. Assuming this request aligns with my interests: Has the need been clearly established? Is the initiative compatible with the mission What specifically are the desired outcomes what specifically will be my return on investment? Is the organization well managed and does it have the capacity to manage this project? Lets study the organizational finances and the project budget! Where do I fit in the funding picture and what happens when my support ends? And then there are the special corporate considerations: What is the level of political necessity determined by community expectations (e.g., hospital and university campaigns); Why should we? Who do we know? Are we represented and at what level, e.g., on the Board? What is our volunteer interaction with applicant? What is the level of business interaction with organization, e.g., are they a profitable client? How will the company be recognized? What is our exposure? What are the numbers of people who will be touched or reached? See Appendix A for a worksheet to help prepare your materials for a corporate approach. Has the Need Been Clearly Established?  The primary weaknesses of the way organizations describe the need they want to address are: They need is presented as organizational challenge The need is too big and therefore not solvable by the organization Is the initiative compatible with the mission? Build the donors understanding of the purpose, vision and goals of the organization first. Keep people focused on the purpose and vision and goals. Get them to believe in and be emotionally engaged in the purpose and vision of your organization. Specify Desired Outcomes Where the Need Statement describes the current environment, the Outcomes and Objectives describe the vision of the future environment. How will the future environment differ from the current environment? What degree of difference will the donor be able to make? In a proposal, describe the imagined future, make the information rich let the donor see the future. The donor is investing in the realization of the vision of the future environment you are describing; this is their ROI (return on investment). Good objectives and outcomes: Are measurable, e.g., increase/decrease Are achieved within a defined universe Are achieved within a defined amount of time Specify a degree of change (the difference the donor will make, their ROI) The primary weaknesses in the way organizations describe their desired objectives and outcomes are: There are no objectives There is confusion between ends and means For example: To raise $40M for a new concert hall is not a vision To increase the number of people in the city who can access music is and a concert hall might be a good way to do this but so might a portable tent with a travelling orchestra To raise $.5M for new medical vehicles is also not a vision To increase the number of rural people who have access to doctors services is and you may well need medical vehicles to do this. Means to Achieve the Outcomes/Ends Be an expert on the model being used to address the issue and talk about how the model leads to desired outcomes. Describe the activities you will undertake to address the problem you have described and achieve the outcomes. Explain why or how these activities work to address the problem and achieve the outcomes.  More Scrutiny of Organizational Capacity and Management For a large grant we expect increased transparency and accountability in a proposal. We will delve more into the management stability of the applicant look at the ability of the organization to manage and account for a large grant. Do you have the knowledge, ability and resources to make a difference? If the grant is very large relative to the size of the organization, we consider the impact of the grant on the organization. Many donors have tested this aspect of an organization through an earlier, smaller grant(s).  How can you establish your organizations credibility? Healthy finances Credible people involved Endorsements from credible people Record of accomplishments More Scrutiny of the Finances and Budget The financials of the applying organization are carefully scrutinized. Does the organization have good cash flows? Are the revenue trends going in the right direction? We want to know the total financial picture of the initiative, the total anticipated revenues and expenses, including other funders on board and the plan for achieving funding goal/needs. Present the total program/project budget, not just the piece for which you are approaching this donor. Present both the expenses and revenues budgets.  Sustainability The question that must be answered is: When the objectives identified in this proposal have been met, then what? Do the funded activities end? Do they continue? Different funders have different attitudes to sustainability. The continuum includes: Its not something we consider; we do not think it is appropriate or realistic to insist on sustainability; TO We consider the sustainability of the initiative beyond the funding period. The former is very unusual for large grants. This can be helpful piece of intelligence to gather in advance, as presenting the financials in a way that takes into consideration a funders attitudes, for large grants, becomes very important. More Scrutiny around Issues of Duplication and Collaboration We look at the way the project will operate in conjunction with/in competition to other programs in the same area. We want to understand the positioning and relationship of this initiative within the broader context of related initiatives and players in the field. Frameworks for Developing Materials One: A modular approach to efficiently meet the needs of the many markets of one Major gift proposals are developed for the market of one. Proposals are customized to meet individual donor needs. Major gift proposals often unfold as the relationship unfolds. Organizations must balance their leadership on the issue with their responsiveness to donor interests. AvR has developed a modular approach to the development of the case, which lends itself to efficiently addressing these challenges. Different modules are combined in response to individual donors issues and interests. Different modules can be cherry-picked throughout the dialogue with the donor. The information is layered in a continuum from the organizational big picture to the project detail. In particular the modular approach is suitable for testing areas of interest; responding to proactive requests and looking for operating dollars.  Two: The Logic Model The goal of model is to state clearly the desired outcome of an activity. This approach helps organizations describe, measure, and demonstrate how their programs make a positive difference in peoples lives and within their communities, i.e., providing an evaluation framework. This approach also helps organizations talk about what is realistic and practical while not losing sight of the larger sequence of possible outcomes. Elements of model: Inputs (program resources) Activities (what the program does) Outputs (amount of work done, activity statistics) Outcomes (benefits for participants and/or community (knowledge, skills, attitudes, values, behaviour, condition) Articulate the rationale of your program culminating in an outcome statement with the help of Logic Links ifthen statements. Key challenges of model: Even within the Logic Model there is sometimes very little to distinguish outputs from outcomes, particularly when dealing with emergency services or other short-term goals. There is also the challenge of articulating and reaching for outcomes that can be measured in a reasonable time-frame. Some desired outcomes may not be achieved for a very long time. A process to address this challenge: brainstorm desired outcomes categorize each outcome as immediate, intermediate and long-term how far out can you reasonably measure? Make sure that each outcome statement falls within the organizations influence and capacity. As the organization develops its ifthen statements it is alerted to what is happening that it cannot measure and control. This helps to restrict the outcome statements to those areas that the organization can influence and control. Four: Market Position Document for Corporate Donors Will be discussed during session. Stewardship The thank-you can get lost in large grants. There may be intense interaction in advance and then a negligible thank you. The negotiation and finalization of a large grant may conducted like a business relationship. Its nice when the charity goes beyond the business approach for the thank-you add the human touch. Funders are amazed by how little feedback they get once a grant has been made. Something beyond the required evaluation reports that speaks to the funder in a personal tone about the value of the grant to the organization. APPENDIX A Approaching Corporate Partner Prospects; Making the Case for the Partnership 1. How does the issue you are addressing affect or relate to the corporations interests? 2. What values are associated with you, with which your corporate sponsor would be seen to be associated? 3. What is your position in the market vis--vis your competitors? 4. Prove that your community likes you, wishes you well, offers you goodwill. 5. Prove that you have an excellent and, if possible, wide-reaching reputation. 6. To how many people do you have access? Clients, donors, friends and relatives, and other stakeholders? 7. Do you have access to decision makers in your community? 8. To what media do you have access? How much coverage do you get (daily? monthly? annually?) 9. What is the project you are approaching them about? 10. For this project specifically, who are the beneficiaries and who are the participants? How many are there of each? 11. Does your idea include actions/activities that can be showcased, and if so, how do you intend to showcase them?  12. Prove that you are competent to carry out this idea. 13. How will you support the idea in your own organization? Bring people and expertise to bear? Money? Promotion activities? Other? 14. What are your criteria for success for this idea? Raise money? how much Raise Public Awareness? how much Participation levels? Media coverage? 15. What specifically are you asking for? How much is each worth in your estimation? Employee involvement? Professional expertise, for example, public relations or information technology?  Gifts in kind? Space? Distribution outlets? Access to the companys customers? Money? Other? 16. How will you showcase the companys involvement? What else, if anything will the company get for its involvement?
